Every User invited to the system will have to go through this process once only.</P> <P>a. You will receive an invitation to your online file by email containing a link to a Registration Form. </P> <P>b. Complete this form, selecting your own personal username and password. These will be valid both for this file and for others you may have in the future. Record and keep them carefully because only you know what they are.</P> <P>If a security question has been pre-arranged, you will be asked to provide the answer. </P> <P>c. A pop-up message should then say that your confirmation ID has been sent to your email address. Exit this page without further action.</P> <P>d. When you receive a second email from  webmaster with your confirmation ID number and a URL link. Click on that link. then click on the  Activate New User button. Once you have selected a file to which you have been invited and clicked  View File you will be taken to the Summary Page of that File.</P> <P>b. You will see on the left of the screen a list of 'Message Areas' (often called 'Rooms'). </P> <P>You will have access to some but not all of those Message Areas </P> <P>c. Click on 'Show Users' to see a list of all participants registered on that file and the user class to which they belong.</P> <P><FONT color=#800000 size=2><B><A href="#CONTENTS">(</A></B><A href="#CONTENTS">Back<B> </B>to Contents)</A></FONT></P></FONT><FONT face=Arial color=#3366cc size=4> <P><A name=MESSAGE></A>5 Message Areas </P></FONT><FONT face=Arial size=2> <P>a. Click on any of the Message Areas on the left of the screen to display all messages within that Room and (with the exception, if there is one within the site you are using, of the 'Brainstormer (anonymous)&nbsp;Room) who posted them.</P> <P>b. All messages within each Room are set up to be displayed chronologically and by title only.</P> <P>c. Click on the title of any message to see its full text.</P> <P>d. Each User may either read and write, read only, or not read the messages in the various Message Areas. At the top of each Message Area is displayed a table indicating the user powers for each class of user. Your rights of access will depend on the class in which you were invited into the file. Classes shown in green have full powers to read and write. Classes shown in red may read the messages but not post a message. Classes greyed out may not even read the messages. </P> <P>e. The site you are using my have a 'Brainstormer (anonymous)' Room. This permits ideas to be posted anonymously, thus promoting disinterested evaluation.</P> <P>Note: If you have logged in as a guest (using the username 'guest', and password 'guest') you may see the full list of Message Areas in the dummy file and you may read all messages in each Message Area in that file. You will not, however, have any  write powers in that file nor will you have access to any real files.</P> <P><FONT color=#800000 size=2><B><A href="#CONTENTS">(</A></B><A href="#CONTENTS">Back<B> </B>to Contents)</A></FONT></P> <P></FONT><FONT face=Arial color=#3366cc size=4><A name=READING></A>6 Reading messages </P></FONT><FONT face=Arial size=2><FONT size=2> <P>a. When you click on any of the Message Areas (see 5 above), all messages within that Room are displayed by title, in chronological order with the latest message at the top. </P> <P>b. The dates, times and categories of Users who posted the messages are displayed here (If such a Room is included within the site you are using, then in the 'Brainstorming' Room, apart from the Mediator, all Users posting messages are shown as 'Brainstormer' so as to remain anonymous)</P> <P>c. Messages are set display in  Minimal format, i.e. only the titles of the messages are shown. </P> <P>d. Click on a title to open the full text of the message and to gain access to any attachments within that message.</P> <P>e. To re-set the format so that messages are displayed in the  Expanded form with full text for every message:- </P> <P>&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp; 1. Click on the OPTIONS button in the Login box in the top section of the screen </P> <P>&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp; 2. In Board View, select  Expanded from the drop-down menu </P> <P>f.&nbsp; Messages are also set to be displayed in chronological order. To display messages threaded by title, click on the 'sort by title' link.</P> <P>g. Attached files are shown as a link in the posted message. To open and read an attached file, click on the link and the file will open either in a separate browser or in its software application (e.g. Microsoft Word). </P> <P><FONT face=Arial color=#800000 size=2><B><A href="#CONTENTS">(</A></B><A href="#CONTENTS">Back<B> </B>to Contents)</A></FONT></P><B></B></FONT></FONT><FONT face=Arial color=#3366cc size=4> <P><B><A name="POSTING MESSAGE"></A>7 Posting a new message / Replying to a message </B></P></FONT><FONT face=Arial size=2><FONT size=2> <P>a. To post a message on the system, first click the appropriate Message Area link for the person with whom you wish to communicate with. </P> <P>b. Once you have selected a Message Area, you will see in the main frame of the screen all previous communications between those authorised to write in that Room, set to be displayed in chronological order.</P> <P><B>IMPORTANT: Before you post a message, check the table of user powers displayed above the chosen Message Area to ensure that you have made the correct choice. All others registered, then, or in the future, under one of the classes displayed in red or green in the table of user powers for that message area will be able to read any message you post. </B></P> <P>c. To write a new message, click on the  Add Message option on the Menu Bar. To reply to a specific message, click on  Reply beside the title of that message.</P> <P>d. A new window pops-up with a blank message board on which to write. </P> <P><B>Note: A User who is not authorised to post a message in this Room, but who clicks on  Add Message or  Reply will receive a pop-up reminder:  You are not authorised to write to this board . </B></P> <P>e.&nbsp; Type your message and add a title in the appropriate section. You may attach a document or electronic file to this message  (see 8 below).</P> <P>f. Click on the  Add Message button at the bottom right corner of the pop-up window. Once posted, a message will be seen by all others registered, then or in the future, under one of the classes displayed in red or green in the table of user powers for the message area in question and cannot be deleted. Therefore, treat your messages as you do email which, once posted, cannot be recovered.</P> <P>g. The message box then disappears and your message will re-appear at the top of the list of messages for that particular Message Area. If not, press 'Refresh' in the top bar to the Message Area.</P> <P>h. When a message is posted by a User, the recipient(s) will be notified by automated e-mail that a message has been posted in a given Message Area. The recipient may read the message by clicking on the URL embedded in the email, entering the correct username and password in the login box (see 1 above), selecting the appropriate File (see 3 above), then selecting the appropriate Message Area, to read the new message (see 5a  d above)</P> <P><FONT face=Arial color=#800000 size=2><B><A href="#CONTENTS">(</A></B><A href="#CONTENTS">Back<B> </B>to Contents)</A></FONT></P></FONT></FONT><FONT face=Arial color=#3366cc size=4> <P><B><A name=ATTACHING></A>8 Attaching a document to a message </B></P></FONT><FONT face=Arial size=2><FONT size=2> <P>a. To attach a document or electronic file to a message, follow steps 7a - f above, but before clicking on the  Add Message button, first click on the  Browse button. </P> <P>b. Select the required document from the relevant storage drive in your computer (for example 'My Documents'). Double-clicking on the selected file will place it in the  Attachment box beside the  Browse button. </P> <P>c. Click on the  Add Message button to post the message, as in step 7g above.</P> <P>d. Attached files are shown as a link in the posted message. To open and read an attached file, click on the link and the file will open either in a separate browser or in its software application (e.g. Microsoft Word). </P> <P><B>NOTE:</B> If you have your browser set to block pop-ups, then you may not able to attach a document. If using IE6+, go to TOOLS-INTERNET OPTIONS -PRIVACY and either untick the 'Block Pop-Ups' box (to stop blocking completely) or click SETTINGS and list the site you are using to permit pop-ups on that site alone. Other browsers will have similar options. You must also do the same if you are running any separate pop-up blocking software such as part of your anti-virus software.</P> <P><FONT face=Arial color=#800000 size=2><B><A href="#CONTENTS">(</A></B><A href="#CONTENTS">Back<B> </B>to Contents)</A></FONT></P></FONT></FONT><FONT face=Arial color=#3366cc size=4> <P><B><A name=PRINTING></A>9 Printing messages </B></P></FONT><FONT face=Arial size=2><FONT size=2> <P>a. To print all messages within a Message Area, first make sure that all the messages are displayed in full (and not just by title) in the  Expanded format (see 6e above).</P> <P>b. Place your cursor anywhere within any of the expanded messages frame and click once. It does not matter if you do not see a blinking cursor in the message frame.</P> <P>c. Now use your&nbsp;browser s print facility (which you will be able to see on the top bar of your screen) to print out all the messages for the selected Message Area.</P> <P><FONT face=Arial color=#800000 size=2><B><A href="#CONTENTS">(</A></B><A href="#CONTENTS">Back<B> </B>to Contents)</A></FONT></P></FONT></FONT><FONT face=Arial color=#3366cc size=4> <P><B><A name="CREATING NEW FILE"></A>10 Creating a New File (a facility for subscribers only - </B></FONT><FONT face=Arial size=2><FONT size=2>(<B><A href="mailto:info@theclaimroom.com?subject=SUBSCRIPTION ENQUIRY">email</A> us to enquire about becoming a subscriber) </B></P> <P>a. Log in (as in 1 above). You will be taken to the Available File Actions page. </P> <P>b. Click on the  New File button. </P> <P>c. You will see a Form. Complete the required details then click on the  Create New File button. </P> <P>d. This will take you to the SUMMARY page of the new online File just created (see 4 above). The information on the SUMMARY page reflects the information you have just completed on the Form.</P> <P><FONT face=Arial color=#800000 size=2><B><A href="#CONTENTS">(</A></B><A href="#CONTENTS">Back<B> </B>to Contents)</A></FONT></P></FONT></FONT><FONT face=Arial color=#3366cc size=4> <P><B><A name=INVITING></A>11 Inviting a New User (a facility for subscribers only</B></FONT><FONT face=Arial size=2><FONT size=2> - <B>(<A href="mailto:INFO@THECLAIMROOM.COM?subject=SUSCRIPTION ENQUIRY">email</A> us to enquire about becoming a subscriber) </B></P> <P>a. On the SUMMARY page, first click on the Show Users link to see the various classes of Users, and names of Users who may have already invited to the File, if any. </P> <P>b. Beside each class of User, you will see a  New User button. </P> <P>c. Click on the appropriate  New User button for the class of User whom you want to invite to this File. There is no limit to the number of users you can invite into any User Class. </P> <P>d. You will then be asked to enter the e-mail address of the User you wish to invite. </P> <P>e. Complete the e-mail address carefully. .</P> <P>f. If the invitee has not already been registered on the system, then, for added security, you should use the facility to include an optional security question and answer. The invitee will have to give the correct answer before being allowed to complete his registration. You should ensure, perhaps by prior discussion, that the invitee knows the correct answer. This precaution will ensure that if you enter the email address incorrectly so that the wrong person is invited onto the file, that he or she will not be able to register.</P> <P>g. Click the  Add New User button. If the invitee has already been registered on another file on the system, then no further action is required and the system will send an automatic email to that person to finalise the invitation</P> <P>h. If the invitee has not already been registered on the system, then you will be taken to a Form inviting you to input further information about the New User. Complete as much of the form as you wish, taking care to fill in any mandatory fields marked with an asterisk (*), then click the  Add New User button at the bottom of the screen. </P> <P>f.
